October 1, 2022 — UPDATED CALL FOR VOLUNTEERS

Thank you to all our members who have already volunteered to work on the WHPA Annual Conference and Resource Fair! We are still looking for volunteers to fill some very important roles. Our Conference Committee is super fun and incredibly hard working. Can you join us? Check out these important roles:

Resource Fair Coordinator: This is a big job we can do together! Our experienced Committee members are here to help you help us make this essential part of the conference a flying success. Much of the prep work is already done, and we will help you step into this role, and have a great time doing it. Get free conference registration for your whole family, and help us pull off this fun event!

Resource Fair Support: Help the Resource Fair Coordinator make the Fair run smoothly for all our wonderful vendors.

Book Fair Coordinator*: We are still seeking a volunteer to help coordinate this popular sale of gently used homeschool materials. You will work with our Conference Committee to take applications, assign spaces, and be there in person on Friday night to oversee the setup, opening, and closing of the sale. Much of the prep work is already done. Get free conference registration and be done with your role in time for the workshops on Saturday!

Book Fair Staff*: Join the fun and help the Book Fair run smoothly on Friday night.

Greeters: Help welcome folks and direct them to the registration table. Friday night and Saturday morning volunteers are needed.

Connections Staff: Work with the Connections Coordinator to supervise this room of fun activities and social spaces. Work in a set shift of 1 or 2 hours when you cannot also attend a workshop. Get free conference registration and support the Connections Coordinator in providing this fun and active space for all ages!

Food Helpers: Work with a Conference Committee supervisor to make sure food service is set up correctly and folks can find what they need. You do not need to cook or even touch food, we just need support staff for our hard-working Logistics coordinator. Shifts needed on both Friday night and Saturday at breakfast and lunch.

*This is the final call for these roles. Without volunteers to fill them, these events will not be a part of 2023’s conference.

 


September 1, 2022 — As an all-volunteer organization, WHPA exists only through the efforts of member volunteers – can you imagine how many people it takes to put on a WHPA Conference and Resource Fair for hundreds of attendees? Here’s YOUR CHANCE to do your part AND help make it an event you and your family are excited to attend!

  • Find the support and encouragement you need, and give the same to others
  • Have a great time! 

We have opportunities for any interest – adults and responsible kids are all welcome to get involved at any level! If you’re not currently a member, you should first join or renew your membership.

Check out the following core opportunities that need to be filled to have conference, as well as the wish list opportunities if we have enough volunteer interest and involvement. All meetings will be held over Zoom. And more opportunities may become available as we move forward with planning the party (a.k.a. Conference).

Core Volunteer Opportunities

Resource Fair

Similar to popular craft fairs, the Resource Fair is chock-full of vendors and exhibitors that may appeal to homeschoolers in Wisconsin. The Resource Fair Coordinator(s) will be supported by our solid working structure and experienced committee members over the next 9 months as they organize the businesses, organizations, and groups into a mutually beneficial event!

Seeking: Coordinator (or Co-Coordinators) to help with planning over the next 9 months and 2-3 volunteers to help at Conference

Swag Bags

Who doesn’t love Conference swag?! Conference attendees, volunteers, and committee members alike regularly tell us they love their Swag Bag full of information, discounts, and goodies from Conference. The Swag Bag Coordinator will receive all the materials over the next 9 months, organize the stuffing party in April, and bring everything to Conference set-up.

Seeking: Coordinator to help with planning over the next 9 months and 2-4 volunteers for the stuffing party

Proofreaders

Get out your (digital) red pen! Help the marketing coordinator dot their i’s and cross their t’s on a variety of materials via Google Docs over the next 9 months.

Seeking: 1-2 proofreaders to help occasionally over the next 9 months

Set-up/Take-down Team

Make it a family affair! Arrive early on Friday of conference to help the committee put up signs, organize materials, and finish all the little tasks for a smooth conference. Then help with take down and clean up Saturday after the conference.

Seeking: 2-6 team players

Greeters

The perfect position for “people” people! Welcome attendees and answer questions during registration Friday evening and Saturday morning of Conference.

Seeking: 2-4 greeters

Registration

Like Santa, but better! Check-in attendees and hand out Conference packets and Swag Bags during registration Friday evening and Saturday morning of Conference.

Seeking: 2-4 registration volunteers

Connections Staff

Make connections, and a craft! Watch over a project and help manage the room for a shift during conference under the direction of the Connections Coordinator.

Seeking: 6-8 Connections volunteers

Food Helper(s)

Essential, behind the scenes position. On site helper(s) ensure food delivery & clean-up goes smoothly for Friday evening, Saturday breakfast, and Saturday lunch.

Seeking: 1-3 helper(s) at Conference

Runners

The extra pair of hands we all wish we had! Runners will make sure Conference coordinators, presenters, and speakers have everything they need for a successful session.

Seeking: 4-8 runners

Thank You Cards

Write, write, write! Help after the conference to ensure speakers and volunteers receive the appropriate thank-yous. A great opportunity for a homeschooling family with older kids!

Wish List Volunteer Opportunities

Used Book Sale

If you love garage sales, this is right up your alley. The Used Book Sale Coordinator(s) will be supported by our solid working structure and experienced committee members over the next 9 months as they organize sellers and their booths.

Seeking: Coordinator (or Co-Coordinators) and 2-3 volunteers to help at Conference

Graduate Recognition

Celebrate homeschoolers’ accomplishments! Work with the Committee and homeschool graduates’ families over the next 9 months to mark this milestone during Conference.

Seeking: 2 volunteers with computer and basic photo/video editing skills

College and Career Fair

Help create this exciting new facet of Conference! Work with the Committee over the next 9 months to design, organize, and execute this chance for homeschoolers to learn about and connect with colleges and careers that interest them.
